Our company provides comprehensive medical billing, coding, and revenue cycle management services. Any information collected is used solely to deliver our billing services, communicate with providers, and optimize claim performance. We do not sell or share your personal or practice information with third parties except as required by law, regulatory compliance (such as HIPAA), or to fulfill billing services with insurance clearinghouses and payers. Onboarding Agreement By registering with our medical billing company, you agree to our standard billing and revenue cycle management service terms. We act as your authorized billing agent to submit medical claims, follow up on unpaid balances, negotiate appeals, and manage billing documentation. All healthcare providers and practices must provide a valid NPI (National Provider Identifier), state medical license, PTAN, active credentialing details, and W-9 form during onboarding.

Payment Terms Billing service fees are calculated based on agreed service rates and are due upon receipt of invoice following payer reimbursement or patient collection. If a provider or practice fails to remit the agreed-upon billing fee within 30 days of invoice issuance, we reserve the right to initiate formal collections and pursue necessary legal actions.

Refund Policy Our medical billing services operate on a performance- or percentage-based fee structure. Because we do not collect advance payments for standard billing services and operate based on processed claims and collections, no refunds are offered once claims have been processed, submitted, and billed.

Data Protection & Security (HIPAA Compliance) Your healthcare and practice data are fully protected. We adhere strictly to HIPAA standards, utilizing industry-standard encryption, secure cloud infrastructure, and access control policies to safeguard Protected Health Information (PHI), patient records, electronic health records (EHR), and financial files. Business Associate Agreements (BAAs) are executed with all clients and partners. Your practice data is shared only with authorized insurance payers, clearinghouses, and vetted healthcare partners necessary to process claims.

Messaging & Communication Our communication systems are secure and HIPAA-compliant. By providing your contact information, you opt-in to receive billing reports, claim status updates, compliance alerts, and administrative communications. You may opt-out of non-essential promotional communications at any time by contacting us directly or using the unsubscribe options provided.
